Activity

Who changed what, and when. On Pro, search the log and filter it by item, batch, user, action or date.

The Activity page is the log of changes made in your business: items, batches, invoices, payments, customers, suppliers, transfers and more. Each row says when it happened, at which location, who did it, what kind of change it was and what changed.

You need the View activity permission for the locations you want to see. Batch, capital and withdrawal entries are shown to administrators only, because they carry stock costs and money movements.

Choosing locations

Nothing shows until you pick at least one location from the selector at the top right.

  • One location shows changes made at that location.
  • Several locations show every change at any of them. A change that touched more than one location, such as a transfer, shows when all of its locations are picked, so pick both ends to see a transfer.
  • Other shows changes that belong to no location, such as edits to an item's name or category.

Reading the log

The log shows 10 rows per page; change Rows per page at the bottom to see more.

Search, filters and sorting (Pro)

On Pro and Enterprise (and during the free Pro trial) a toolbar above the log narrows it down. Every filter applies to the whole log, not just the page on screen, and the page count updates to match.

  • Search matches the description, the entity type, and the username, first or last name of whoever made the change. It is not case-sensitive.
  • Entity shows only the kinds of change you tick, for example Batch.
  • Item shows one item's history: the item itself, its variants and batches, every invoice that sold it (with its payments and returns), its delivery orders and its transfers.
  • Action shows only Created, Added, Updated or Deleted changes.
  • User lists the people who appear in the selected locations' log.
  • Date range limits the log to the days you pick. Picking a single day shows that whole day. Leave it empty to search all time.
  • Sorting: click the Date / Time, Action, Entity or Description column heading and choose ascending or descending. Location and User can't be sorted.

Reset clears every filter, the search box and the date range.

Example

To see every change to one product's stock: tick Batch under Entity, pick the product under Item, and optionally a Date range and a User.

Older entries

The Item filter relies on each change recording what it was about. A few older entries can't be traced back, such as those for an item that was later renamed. If part of an item's history seems to be missing, type the item's name or the invoice number in Search instead.

On the Starter plan

Starter shows the full log, newest first, without the search toolbar or sorting. The Upgrade link above the log explains what Pro adds. Administrators can switch plans from there; other users are told to ask an administrator. See Plans and Pricing.
