Item Damage Tracking - Report

Stock losses recorded in a selected date range, by reason, supplier and item.

Item Damage Tracking lists the stock you lost during the selected period. Each loss is a dated record, and the date picker decides which losses are shown.

For the location selector, date range and CSV export, see Reports. This report opens on the last year.

Where the losses come from

Stock write-offs. Every write-off dated in the period is included, whatever its reason: Damaged, Expired, Lost, Stock count or Other. It is valued at the amount that was booked for the write-off.

Customer returns that came back damaged. When a returned item is recorded as damaged, the damaged units are included on the date of the return. They are valued at the unit cost of the batch they came from. The reason reads Customer return, or Customer return (replaced) when the item was replaced.

NOTE

Write-offs that have been reversed are not counted. Losses from deleted batches, deleted items and deleted invoices are also left out.

Summary cards

  • Total Damage Cost: the cost of all losses in the period.
  • Total Damaged Items: the number of units lost.
  • Highest Turnover Supplier: the supplier whose stock accounts for the highest loss, with the amount.

Supplier Damage Turnover

A chart of loss cost by supplier. The supplier is the one the affected batch was bought from. Batches with no supplier are grouped as Unknown Supplier.

Most Damaged Items

The ten items with the highest loss cost, with units lost. Variants are listed separately.

Losses by Reason

One row per reason, with its source (Write-off or Customer return), number of records, units and cost, highest cost first. Use it to tell damage apart from expiry, loss and stock count corrections.

Damage Records

Every loss in the period, newest first:

  • date
  • item
  • supplier
  • source (Write-off or Customer return) and reason
  • unit cost
  • quantity
  • total cost

On screen the source is shown as a label in the Reason column. In the CSV export it has its own Source column.
