Stock Transfers

Move stock from one location to another.

A transfer moves stock of one item from one location to another.

To open it: click Locations in the navigation, then switch to the Transfers tab.

PLEASE NOTE

A transfer moves the stock immediately when you create it. There is no pending or approval step, and a completed transfer cannot be deleted. Check the item, locations and quantity before you confirm.

Create a transfer

  1. Click Transfer at the top right of the Transfers tab.
  2. Select the Item. Variants are listed separately.
  3. Select the From Location and the To Location. They must be different.
  4. Enter the Quantity. Once the item and source are selected, the form shows the quantity available for transfer. You cannot transfer more than that.
  5. Choose the Stock Movement: FIFO or LIFO (see below).
  6. Optionally enter a Transfer Cost and choose the Cost Incursion (see below).
  7. Click Add Transfer.

Permissions

Creating a transfer needs the create transfer permission. If your permission is limited to certain locations, it must cover both the source and the destination.

Viewing the list needs permission to view transfers and to view locations.

Stock Movement: FIFO or LIFO

An item's stock is held in batches, one per purchase. Stock Movement decides which batches the transfer takes from first:

  • FIFO takes from the oldest batch first.
  • LIFO takes from the newest batch first.

If the first batch does not hold enough, the transfer carries on into the next one until the quantity is met.

Whole batches and partial batches

  • When the transfer takes a whole batch that has never been sold from, damaged or written off, the batch simply moves to the destination as it is, keeping its original date.
  • When the transfer takes only part of a batch, the batch is split. The source batch keeps the remainder, and a new batch is created at the destination with the transferred quantity, the matching share of the cost, and the same supplier.

Transfer cost

If moving the stock cost you something, such as transport, enter it as the Transfer Cost and choose who bears it under Cost Incursion:

  • Source Location: the full cost is charged to the source.
  • Destination Location: the full cost is charged to the destination.
  • Both (50/50): each location is charged half.

The cost is booked as an expense in the Transfer category at the chosen location(s), and that location's balance is reduced by the same amount. Cost Incursion is required when the cost is above zero and is disabled when the cost is zero.

View transfers

Select the locations and a date range above the table.

NOTE

A transfer is listed only when both its source and its destination are among the selected locations, so select at least the two locations involved.

You can search the table and filter it by Item, Source and Destination. Open Details on a row to see the item, who made the transfer and when, the two locations, and the batches that moved.

Deleting transfers

Completed transfers have no actions and cannot be deleted. To move stock back, create a new transfer in the opposite direction.

If your business has old transfers that were saved as pending before transfers became immediate, those rows never moved any stock. They show a Delete Transfer action so you can clear them away; this needs the delete transfer permission.
